Tips for Hosting a Great Event
Hosting a successful event doesn’t happen by accident! You’ll have a great event by putting in the time and effort needed to ensure it will be a hit.
Planning an event can be fraught with fear and tons of anxiety, especially if you’ve never hosted one before. To help you get started, we’ve put together a list of tips that will take away your anxiety by providing concrete steps to plan a great event.
1). Plan Ahead
Getting ready for your event takes time, so be sure to give yourself plenty of time to make arrangements. Most experts recommend starting at least six months ahead of your event. This gives you plenty of time to find the right venue, arrange for speakers and entertainment, find a caterer, and more.
Planning ahead is also benefit in case a venue becomes unavailable, or a speaker can’t make it. You have time to make alternative arrangements.
2). Number of Attendees
As you plan for the event, it’s a good idea to determine how many people you expect to attend. The reason is that you’ll need to know the number of seats required, how much food will be needed, and more. Plus, the number of attendees determines the size venue you’ll need.
If you’re not sure how many will attend, then try to set a minimum and maximum number of attendees. This way you’ll have a little flexibility when it comes to quotes on the venue, caterer, and more.
3). Set Your Budget
As with any other type of expenditure, it’s necessary set a budget for your event. Set a fixed budget and then stick with it. Once you’ve determined the budget, you might further break it down into specific categories such as venue fee, catering, speaker fees, and more.
4). Prepare the Venue
On the day of your event, everything should be ready and waiting when attendees begin arriving. This means the event will need to be prepped well in advance. Depending on the venue management, you may see if it’s possible to set up the evening before.
This gives you enough time to place all the furniture, decorate, check all the tech equipment to ensure it’s all working, and more.
It’s also a good idea to ask the venue management if they include the price of setup in their fees. Some do, and some don’t but it doesn’t hurt to ask. That way you wouldn’t have to worry about not having enough volunteers help out. Instead, everything will be arranged for you—you won’t have deal with it.
5). Keep Guest Registration Easy & Fast
Nothing is worse than showing up for an event only to see a long queue for registration. So, make this process as easy and fast as possible. Have people who are designated to help with the reception process.
By following these tips, you’ll set the stage for a highly successful event. You don’t have to be worn to a frazzle when you have a plan and a budget. As we said earlier, a successful event doesn’t just happen, it takes careful planning.
